Generate now makes today's list on the spot instead of waiting for 5 AM. Runs made this way are marked as test and can be cleared. Runs made by the real 5 AM schedule are permanent and are never cleared by that button.
New job
The job goes to a team, not to one person, so anyone in that team can pick it up. Your own team sees it too, so you can watch it get done without chasing anyone.
Shows the person what needs doing and where. Camera only, and it must be taken now.
Equipment register
Equipment belongs to the department that owns it, not the floor it stands on. The floor tells whoever reads it where to walk. Tick more than one department only when a unit is genuinely shared as backup.
Optional now, fill in as you tag units.
Where it physically stands, if that differs from the department that owns it.
Degrees Celsius. Leave both blank for anything that is not temperature controlled. When a reading on this unit falls outside the range, the person is made to write a note and a job is raised for maintenance against this unit, so a bad number cannot simply be logged and forgotten. Set these yourself, nothing is filled in for you.
Checklist templates
A day past the end of a shorter month falls on that month's last day.
On the recommended setting a daily run is marked missed and clears off the screen at 5 AM, because nobody re-cleans yesterday's washroom. Anything weekly or longer stays on the list as overdue until someone does it, so a Monday deep clean missed while a man is on leave is still waiting on Thursday. Only ever one run at a time is outstanding: when the next one is due, the old one is marked missed for good and replaced, so a list can never pile up.
Leave this empty and the template makes one run a day, completed by the hour below. Add times and it makes a separate run for each, so a missed 3 PM check is recorded as missed instead of hiding inside a part-finished day. Times are set on the hour. The trading day closes at 5 AM, so any time before 05:00 belongs to the previous business day and falls on the next calendar date. A closing run at 01:00 on the 12th is part of the 11th, which is why it sits at the bottom of the list. Done only closes the row, nothing here is stored until you save the template.
The list appears for the whole day. Anything still open at this hour is recorded as missed, not hidden. The trading day closes at 5 AM, so an hour of 1 means 1 AM at the end of that day's trading, not the following morning.
Leave as anyone and it goes to whoever has access to the area.
Usually leave this off. The run already records who did it and when, and missed checks are highlighted for the person responsible. Turn it on for the monthly internal audit, where a second pair of eyes genuinely matters.
Checks
Warn flags the reading for attention. Fail marks the check non-compliant. Cooking oil TPC is the example: warn above 22, fail above 25.
Tie this check to a specific unit so six months of its readings can be pulled together. Leave blank for a general check.
Shows what "done" looks like. Any image, including a diagram or an older photo.
Tick only the checks an inspector is entitled to see, such as a temperature or a food handling check. These are the lines the compliance report is built from, and their photos are kept for 400 days instead of 90. Housekeeping lines sitting in the same list stay unticked and never reach that report.

Complete job
Camera only, and it must be taken now.
Moves the job to another team instead of closing it. Every handover is recorded on the job, so a job cannot be passed around quietly.
The job stays open and keeps counting as overdue, so it is not forgotten. Mark it done once they have finished.
